the lynchpin and ensure the smooth functioning of SCORCH’s day-to-day operations. You thrive on providing support to colleagues and stakeholders - and it will be vital to SCORCH acting as the point of contact for interdepartmental coordination and external vendors, streamlining administrative workflows, managing receivables for SCORCH & SCORCH Radio, and support event logistics and administrative needs as required. Your highly detail-oriented and exceptional multitasking abilities will thrive in our dynamic, fast-paced environment.
You will report to the Managing Director.
This role requires you to be in the Office Full Time [9am - 5pm]
Responsibilities
Office Management
Maintain a well-organized and functional office environment, ensuring readiness for daily operations.
Communicate with OWP management regarding any issues with utilities.
Act as the first point of contact for emails, and visitors to the SCORCH office.
Address customer complaints or inquiries about SCORCH or SCORCH Radio.
Draft, and distribute internal communications and reports.
Manage relationships with office-related vendors and service providers.
Maintain contact lists for SCORCH & SCORCH Radio - vendors, clients, and team members.
Oversee and manage in-house internal events.
Manage office supplies and equipment, Brand merchandise and inventory.
Financial Administration
Track receivables and accounts for SCORCH & SCORCH Radio, contacting delinquent payers where necessary and following up on open invoices.
Update Xero with payments received from the Sales team.
Communicate with the Sales team on any issues relating to outstanding client payments .
Scheduling and Coordination
Provide administrative assistance to department heads - scheduling meetings, appointments, and calls, especially during event preparation.
Support recruitment efforts by scheduling interviews, collecting documents, and onboarding new hires.
Assist in drafting the SCORCH Playbook to improve internal processes.
Oversee the SCORCH Events and company calendars, and any related shared calendars.
Coordinate interdepartmental meetings and maintain records of minutes and action items.
Arrange travel and accommodation for the team attending out-of-town events or meetings.
Event & box Office Operations
Create and manage staff and supplier lists for events
Create events on Island eTickets and manage online ticket distribution
Manage ticketing for DJs, Artistes and VIPs.
Be the point of customer liaison and manage all inquiries or complaints related to pre-event, cabanas, VIPs, ticket sales or package collection
Manage event administration such as
Coordinate vendor setup for box office or merch operations (e.g., POS terminals, signage, etc.).
Book promo girls and manage their outfitting and merch requirements
Manage schedules and work hours for part-time or event-based staff
Provide logistical support for SCORCH/ SCORCH Radio’s participation in events, such as coordinating equipment transport or managing staff schedules.
Maintain an inventory of event-specific items (e.g., branded materials, supplies).
Manage physical ticket sales and oversee distribution of event packages (e.g., Event packages, wristbands, VIP kits, merchandise).
Maintain an organized inventory of tickets and packages, tracking sales in real-time.
Manage cash payments for tickets, events and document for compliance
Regularly audit box office cash and ticket inventories for discrepancies.
You have & are …
Minimum 3 years in administrative roles, preferably within the events or entertainment industry.
A Bachelor’s degree in Business Administration, or a related field is preferred.
Positive attitude, strong attention to detail, proactive mindset, and a collaborative approach.
Strong ability to manage multiple priorities, track deadlines, and maintain a well-organised environment.
Excellent verbal and written skills.
Proficient financial acumen, with an understanding of budgeting, invoicing, and reconciliation.
Comfortable with typical business software (Google Workspace, MS Office)
Ability to learn new tools quickly (ticketing platforms, Xero, Slack, or CRM platforms).
Ability to quickly resolve operational challenges or logistical bottlenecks.
Flexibility to pivot tasks or priorities in a fast-paced environment.
